Scope
Main Functions
Ensure contractors work in accordance with contract terms and conditions. Ensure timely placement of Purchase Orders that support contract services for production work in compliance with corporate controls and best practices. Track progress and support Supervisors with coordinating contractor compliance regarding company systems and controls. Oversee the administration and performance of service contracts. Ensure contract payments are executed accurately and anomalies are identified. Ensure payments are made to contractors in accordance with Company agreements in a timely manner. Advise on contract risks and support stewardship of gap closure and improvement opportunities, assisting with prioritization where required.

Key Responsibilities
• Create Service Entries and amend Service Requests for Production Operations contract service providers within the Company’s SAP system.
• Liaise daily with contractor representatives to address issues related to purchase order placement, amendments, and invoice payments for work executed against those purchase orders.
• Foster positive and constructive relationships between contractor and Company representatives and assist in resolving issues through problem-solving and collaboration.
• Ensure sound systems are in place by supporting Field Supervisors with the following:
o Maintain critical contractual documentation, including SOAs, Purchase Orders, Records of Meetings, and key decisions.
o Monitor contract expiration dates.
o Monitor and analyze contract spend.
o Monitor invoice receipt and payment status.
o Ensure contract costs are allocated to the correct cost centers or end users.
o Maintain accurate records of Agreement Numbers, Purchase Order numbers, and Contract Owners/Administrators.
• Ensure effective contract administration through records management, advice, and compliance with procurement controls, OIMS 8.1, and business requirements.
• Provide support to the Production Department and Accounts Payable as needed.
• Help direct contractors to internal and external resources that support compliance and safe work practices, including SHE resources, training opportunities, and subject matter experts.
• Work with the Contract Administrator to identify contract performance and efficiency improvement opportunities, including arranging performance reviews and meetings.
• Perform assignments in a safe and diligent manner, and promptly inform supervisors of any incidents, injuries, near misses, or hazards observed in the workplace.
• Promptly flag any observed or potential control gaps or non-compliance issues with Company policies to Supervisors.
• Report contractor compliance with all applicable ExxonMobil OIMS and CIMS standards.
• Ensure ExxonMobil procurement and financial processes are followed.
• Report contractor performance and status in accordance with Global Operations and EMPNG requirements.

Skills and Qualifications
• Proficiency in Microsoft Excel and other analysis tools
• Experience using SAP or other computerized maintenance management systems
• Safety leadership qualifications or certifications preferred
• Experience within a large corporation or complex organizational environment
• Experience working with developing businesses and Landowner Companies (LANCOs)
• Experience engaging with contractors in a developing-country environment
• Contract administration experience, preferably in service-contractor environments
• Confidence working in field or industrial environments, including remote locations
• Strong business ethics and compliance awareness
• Understanding of company expectations related to controls, reporting, and compliance
• Knowledge of the host country’s commercial environment and the role of government and regulatory authorities
• Ability to integrate security and community objectives into Service Contracting plans
• Strong interpersonal skills with the ability to manage discipline and performance issues
• Understanding of Operations Integrity Management System (OIMS)
• Strong understanding of International Production Enterprise System (IPES/SAP)
• Knowledge of safety management tools and systems, including JSA and Risk Assessment
• Advanced knowledge of OIMS 8.1
