Job Summary
The Land Scanning / Indexing Specialist is responsible for collecting, processing, preparing, scanning, boxing, and routing physical documents received via mail (Nature 3) and interdepartmental delivery. This role also manages indexing, routing, and quality control of electronic documents within the enterprise content management (ECM) system.Major Responsibilities

Key Job Duties
- Prepare, process, digitize, route, track, and archive physical land documents
- Route, track, and index digital documents within ECM systems
- Provide operational support to Uncon Land & Land Services teams
- Ensure accuracy and quality control of scanned materials
- Maintain document confidentiality and integrity
Work Complexity
- Prioritize and manage multiple document requests
- Identify potential software upgrades or system enhancements
- Communicate clearly and professionally while maintaining confidentiality
- Develop and apply petroleum land business vocabulary
- Work independently with moderate supervision
Decision-Making Authority
- Consult Manager/Lead on non-routine issues
- Escalate matters requiring Corporate Land involvement
- Recommend procedural improvements
- Identify need for additional support during workload surges
- Apply alternative approaches to improve efficiency
Working Relationships
- Collaborate closely with Land and Land Services teams
- Support document workflows and enterprise data management
Required Knowledge, Skills & Abilities
- Proficient in Microsoft Word, Excel, and Outlook
- In-depth knowledge of land data types
- Ability to search internal and external databases for legacy data
- Familiarity with:
- Regulatory agency databases
- DrillingInfo
- County digital record sites
- Strong organizational and communication skills
- Ability to manage detailed, high-accuracy work
Education
- High School Diploma or equivalent required
Experience
- Minimum 1 year clerical/general office experience required
- Preferred:
- 5 years administrative support in Oil & Gas Land
- Oil & Gas industry experience
Work Environment Requirements
- Ability to stand, walk, bend, kneel, crouch, or climb
- Lift/move up to 25 lbs regularly; occasionally up to 100 lbs
- Work in varying temperature conditions (heat/cold/humidity)
- Must have close, distance, and color vision capability
